Migrating to MADARS mid-year without losing data

A checklist for schools that decide to switch to MADARS after the academic year has already started — preserving grades, attendance and disciplinary records.

Before the switch

  • Export student rosters from your legacy system to Excel.
  • Export attendance to date as CSV (one row per absence).
  • Export current-term gradebook (assessment, weight, raw score).
  • Back up the legacy database and keep it read-only for the rest of the year.

Importing into MADARS

MADARS ships a **Mid-year import wizard**. Upload the three files above in order. The wizard validates national IDs against the Ministry directory and flags mismatches before the import runs.

Reconciling grades

After import, the gradebook shows each assessment with its original weight. Teachers should verify a sample of 5 students per class in the first week — edits made during that window are logged but don't trigger parent notifications.

Parent communication

On Day 1 of MADARS, schedule a bulk announcement explaining the new parent portal URL and reset instructions. 70–80% of parents activate within 48 hours when this step is done proactively.
